While I've written about it in previous updates, I must confess that I haven't used Publisher myself a great deal. Like many Office users, I am comfortable enough with Word for many of my simple brochure needs and never like to leave the comfort zone of the known to explore the unknown.
With a new version of Publisher now part of Office 2007, I thought it might be time to explore some of its newer features and decide whether it is worth the learning curve to become a designer of print materials above and beyond what Word can do.
Email merge
Link to Business Contact Manager
Start a marketing campaign with Business Contact Manager.
Use and Event or Activity template and begin an Email Merge from the Content Library.
Similar to Word, begin by choosing a data source, in this case Outlook Contacts.
With the source selected, fields can be easily clicked or dropped into the invitation.
Clicking through the Preview in the task pane, you can see the names as they appear in the invitations.
Besides the new email merge, you can also do a regular mail merge, as you might in Word, and also a Catalog merge. This would involve a data source like an Access database that could store both text and other object types, which could be merged into a catalog with images created in Publisher.
Select a logo and text as multiple objects, open the Content Library, and click at the bottom of the panel to Add to the object library. You can categorize the objects with generic categories liked Business, Favorites or Personal, or add your own.
With the Content Library open, you can access the category and instantly add the saved content to a new document.
Besides blocks of graphics you can also store your own information as Business Information to insert in the same format in any document you create.
You can also use the Graphics Manager in the task pane to keep track of your content for reuse.
A Master Page, similar to the Slide Master in PowerPoint also provides a specific look or background that you can apply to any document you subsequently create.
Publisher 2007 also includes the ability to save as or export in PDF or XPS formats, which we discussed in some detail in a previous update.
Publisher Tasks go beyond the scope of a graphics program. The task pane opens a series of prompts that guides you through creation, distribution and even follow-up. One of the task lists has direct guides for posting your content to a web site. There is also a link to the Small Business Center (guess where?) at Microsoft with additional resources.
Actually one of the nicest pieces of integration with Outlook 2007 is the Send Email panel of options, which includes direct links for just about any way you might want to distribute your content directly from Publisher.
